Zoom integration — user guide
How to connect Zoom to Expertini ATS, create interviews that generate a Zoom meeting automatically, and disconnect the app when you no longer want it. This page covers the whole lifecycle: adding, using, and removing.
Requirements
- An Expertini ATS account with the Interview Scheduler available on your plan.
- A Zoom account that is allowed to create meetings. A free Zoom account works; meeting-length limits are set by Zoom, not by Expertini.
- The role of Owner or Admin in your Expertini organisation. Connecting an app changes settings for the whole organisation, so recruiters and hiring managers cannot connect or disconnect it.
Adding the app
The Zoom connection is made once per organisation. Everyone on your team then schedules Zoom interviews without connecting anything themselves.
- Sign in to Expertini ATS and open Apps → Connections.
- Find the Zoom card and select Connect Zoom.
- Zoom's own authorisation page opens. Sign in to Zoom if you are not already, review the permissions listed, and select Allow.
- You are returned to Expertini ATS. The Zoom card now shows Connected, along with the Zoom account it is connected to.
Using the app
Creating an interview with a Zoom meeting
- Open the Interview Scheduler and select Schedule interview.
- Choose the candidate and the job.
- Set Interview type to a video type — for example Video interview. This step matters: the meeting-provider options only appear for video interview types, because a phone or on-site interview has no meeting link to create.
- A row of providers appears. Select Zoom. Providers your organisation has not connected are shown too, greyed out, and link to the Connections page.
- Set the date, time and duration, then select Schedule.
Expertini ATS then creates the Zoom meeting on your connected account and writes the join link back onto the interview. The link appears on the interview record and in the confirmation email sent to the candidate and the interviewers. If the interview is rescheduled the meeting is updated; if it is cancelled, the Zoom meeting is deleted.
If you would rather use your own link
Select Paste my own link in the same row and enter any meeting URL. Expertini ATS will not contact Zoom at all for that interview.
Data and permissions
The integration requests the minimum needed to create and clean up meetings on your behalf:

What Expertini ATS stores: the Zoom access and refresh tokens for your organisation, the Zoom account identifier shown on the Connections page, and — per interview — the meeting id and join URL. Tokens are held server-side and are never rendered back into the browser.
What Expertini ATS does not do: it does not join, record, transcribe or read your meetings, does not access meetings created outside Expertini ATS, and does not read your Zoom contacts, chat or cloud recordings.
Troubleshooting
I do not see Zoom as a meeting option
Check both of the following, in order:
- Interview type must be a video type. The provider row is hidden for phone and on-site interviews. Change the type and the row appears.
- Zoom must be connected for your organisation, on Apps → Connections. If it is not, Zoom still appears in the provider row but greyed out with a connect link.
The interview saved but no Zoom link appeared
The meeting is created in the background, so the link can take a few seconds to land. Reload the interview. If it is still missing, the usual cause is an expired authorisation — reconnect Zoom on the Connections page. The interview itself is never lost: it is saved first, and the link is attached afterwards.
Zoom says the authorisation failed
This is normally an account-permission issue in Zoom rather than in Expertini ATS: some Zoom plans restrict which members may authorise third-party apps. Ask your Zoom account owner or admin to authorise the connection, or to permit the app for your account.
Removing the app
You can disconnect from either side. Both fully revoke access.
From Expertini ATS
- Open Apps → Connections as an Owner or Admin.
- On the Zoom card, select Disconnect.
- The stored Zoom tokens for your organisation are deleted immediately.
From Zoom
- Sign in to the Zoom App Marketplace and open Manage → Added Apps.
- Find Expertini ATS and select Remove.
- Zoom notifies Expertini ATS, and the stored tokens are deleted.
