How ATS pricing really works
The four billing models every ATS uses, the hidden costs to watch for, and Expertini's own live pricing — no named competitors, no numbers that go stale.
Comparing ATS pricing at a glance is harder than it looks, because vendors bill on different bases — per seat, per employee headcount, per active job slot, or a flat platform fee. Rather than publish a table of named competitors' prices that goes stale the moment one of them changes a number, this page teaches the four billing models the market actually uses, so you can size up any vendor's pricing page — including ours — in a few minutes.
Expertini's own current pricing is shown below read live from the same data that powers checkout, so it can never drift out of sync with what you'd actually be charged. Nothing on this page is an editorial ranking of other platforms; it's a framework for asking the right questions before you sign anything.
A low starting price is only useful once you know what it actually includes. The real cost differences between ATS platforms usually show up in what's bundled versus billed as a separate add-on, not in the headline number — see the checklist further down for exactly what to check.
| Pricing model | Fits best | Watch for |
|---|---|---|
| Expertini — flat per-organisation | Any team size, from a first hire to enterprise recruiting | Fixed seat allowance per tier — CMS scoring, AI prompts, and distribution to 46 job boards included, no separate add-ons. |
| Per-seat / per-recruiter | Small, stable hiring teams | What counts as a “seat” varies — some vendors charge for every hiring manager who can even view a candidate, not just recruiters who log in daily. |
| Per-employee headcount | Companies that want one HRIS-style bill | Priced against your whole company's headcount, not your hiring team's size — cost can climb every time the company grows, regardless of how much you're actually hiring. |
| Per-active-job-slot | Teams with a steady, predictable number of open roles | A hiring surge — several roles opening at once — can force an unplanned tier upgrade mid-quarter, right when you need the budget most. |
| Flat per-organisation | Teams that want one predictable number to budget against | Simplest to plan around, but check exactly what the seat/usage allowance is and what happens the moment you go one over it. |
These are the four billing-model archetypes the ATS market uses, not a ranking of specific vendors — see the FAQ below for why this page doesn't name or price named competitors.
Why the starting price rarely tells the whole story
A per-seat or per-employee price looks simple until you multiply it by an actual team, and a flat platform fee looks simple until the features you need turn out to sit on a higher tier or a separate add-on. The billing basis matters as much as the number — a per-employee platform priced against your whole company headcount can end up costing more than a flat per-organisation fee once your team is bigger than a handful of recruiters.
Add-ons are the other place sticker price and real cost diverge. Some platforms bundle scoring, video interviews, and assessments into every tier; others price them as separate monthly charges layered on top of the base subscription. Ask for a full add-on price list before you compare any two vendors' headline numbers directly.
The real cost is rarely the sticker price
- Implementation or onboarding fees — a one-time charge, sometimes larger than a full month's subscription, that some vendors don't mention until the contract stage.
- Overage fees — what happens, in dollars, the moment you need one more seat or one more open job slot than your plan allows. Some vendors auto-upgrade you to the next tier; others charge a per-unit overage rate that can be steeper than just buying the next tier outright.
- Support-tier gating — whether chat, phone, or a named account manager is included at your price point, or reserved for a higher tier.
- Data export on the way out — some platforms charge, or simply make it slow and manual, to export your full candidate and job history if you switch providers later.
- Contract lock-in — whether the quoted price requires an annual commitment, and what the actual month-to-month rate looks like if you'd rather not commit.
Questions to ask any ATS vendor before you sign
- What exactly counts as a “seat” on this plan — every hiring manager who can log in, or only recruiters who post jobs?
- Is candidate scoring / AI-assisted screening included, or a metered add-on billed per use?
- What's the exact overage fee if I need one more seat or job slot mid-contract?
- Can I export all of my candidate and job data if I leave, and does that cost extra?
- What support tier do I get at this price — and what's the response-time commitment?
- Is this price only available on an annual contract, and what's the month-to-month rate?
What Expertini bundles into every tier
Every Expertini plan — Basic through Enterprise — includes CMS scoring, AI-assisted screening prompts, Resume Score checks, distribution to the full 46-board network, and Candidate Relationship Management with no separate line item for any of them. Pro and Enterprise add Customer Relationship Management for agencies managing their own clients, and Enterprise adds a dedicated account manager, but the core hiring workflow is identical across every tier — nothing is held back to force an upgrade for a feature most teams would consider table stakes.
That's a deliberate pricing philosophy, not just a marketing line: see the How We Price page for the reasoning, and the Complete Hiring Lifecycle page for a stage-by-stage look at what a typical multi-vendor stack ends up paying for piecemeal.
