Job Posting Guidelines

What a posting may and may not contain, what we edit automatically, and what happens when a listing is declined.

Every job published through Expertini ATS appears on the Expertini network, where job seekers apply in the expectation that the listing is genuine and that applying costs them nothing. These guidelines exist to keep that expectation true. They apply to every posting, on every plan.

Most postings pass without anyone touching them. The rules below are about the small proportion that do not, and about being straightforward with you when something is edited or declined rather than leaving you guessing.

01Contact details are removed automatically

A posting must not carry a direct route to contact you outside Expertini: no email addresses, phone numbers, WhatsApp or Telegram handles, or links to an external application form or website. If a posting contains any of these, they are removed automatically and the listing publishes without them, normally within seconds.

This is not about keeping you on the platform. Applications that travel outside the system lose the audit trail — you cannot show who applied and when, candidates have no record either, and the most common recruitment scams begin with moving a candidate to a private chat. Applications arrive in your dashboard, and your contact details reach the candidate once you choose to reply.

Where something has been removed, you will see a marker in the published text showing where it was.

02What a posting must never ask for

A listing will be declined outright if it asks a candidate for money, at any point and under any description — registration, training, processing, administration, a starter kit, a refundable deposit, or a fee "payable on placement". A genuine employer pays to hire; a candidate never pays to be hired.

The same applies to postings that ask a candidate to receive, hold or forward money or goods, that promise specific earnings without work to justify them, that are built on recruiting other people rather than doing a job, or that demand a passport, national ID, bank details or other sensitive documents before an offer exists.

03Content that belongs to somebody else

Post only listings you are entitled to publish. Copying another employer's or agency's job description, reproducing text from another job board, or publishing a role on a company's behalf without their authority are all grounds for a listing to be declined and, if repeated, for the account to be closed.

A description written for one of your own earlier vacancies is yours to reuse. Text lifted from someone else's advert is not, however lightly it has been edited.

04The role must be real, and described honestly

One posting is one vacancy. The title should be the job a person would actually be doing, the location should be where they would do it, and the salary — if you state one — should be the salary you intend to pay. Listings that exist to collect CVs for a role that is not open, or that describe a vacancy in terms designed to attract applicants who would not otherwise apply, will be declined.

05What happens after a decision

Published with edits — the posting is live and the removed content is gone from it. Nothing further is required from you.

Held for review — the posting is saved but not public while a person reads it. This is the normal path for anything the automatic checks cannot resolve on their own.

Declined — the posting returns to your drafts, unpublished, and we tell you why by email. Edit it and submit again; there is no penalty and no limit on resubmitting a corrected listing.

If you believe a decision is wrong, reply to the email or write to [support@expertini.com](mailto:support@expertini.com) with the job title. A human reads it, and we would rather be corrected than leave a good listing offline.

Frequently asked questions

Why was my phone number removed from my job posting?
Direct contact details are removed from every posting automatically so that applications stay inside Expertini, where both you and the candidate keep a record of them. Candidates reach you through the application, and you can reply with any contact details you like once they do.
Can I include a link to the application form on our own website?
No. External application links are removed for the same reason as phone numbers and email addresses. Applications submitted through Expertini arrive in your dashboard with the candidate's CV and score attached.
My posting was declined. Can I fix it and post it again?
Yes, always. A declined posting goes back to your drafts rather than being deleted. Edit the part named in the email and submit it again — there is no penalty for resubmitting and no limit on how many times you can.
Can I charge candidates a small refundable deposit?
No. A posting that asks a candidate for money under any description will be declined, whether or not the payment is described as refundable.
Can I reuse a job description from another site?
Only if the text is yours. Reusing your own earlier description is fine. Copying another employer's or another job board's wording is not, and repeated copyright misuse can close the account.
Who decides, a person or an automated system?
Both. Automatic checks handle contact details and obvious policy breaches; anything less clear-cut is read by a person before it publishes. Any decision can be appealed to support@expertini.com.
